What are the functions of DBMS? Explain.

8 marks

Answer

A Database Management System (DBMS) serves as an interface between the database and end-users or application programs. Its primary functions include:

  • Data Definition: Provides the ability to define, modify, and remove the definitions that determine how data is stored and structured in the database.
  • Data Manipulation: Enables users to insert, retrieve, update, and delete data from the database using a query language like SQL.
  • Data Security and Integrity: Enforces security constraints to prevent unauthorized access and maintains data integrity by ensuring that data follows defined rules and constraints.
  • Concurrency Control: Manages simultaneous access to the database by multiple users, ensuring that transactions are executed in a way that maintains consistency and avoids conflicts.
  • Backup and Recovery: Provides mechanisms to restore the database to a consistent state in the event of hardware failure, software errors, or system crashes.
  • Data Dictionary Management: Maintains a repository of metadata that describes the structure, relationships, and constraints of the data within the system.
  • Performance Tuning: Optimizes the efficiency of database operations, such as query execution and indexing, to ensure fast data access.
b

Define the concept of aggregation. Give two examples of where this concept is useful.

7 marks

Answer

Aggregation is an abstraction concept in the Entity-Relationship (ER) model that allows a relationship between entities to be treated as a higher-level entity. This is necessary when we need to express a relationship involving another relationship, which is not possible using standard binary relationships.

Examples of its utility include:

  • Project Management: If an employee works on a project, we may need to track which manager oversees that specific 'Employee-Works-On-Project' relationship. Aggregation allows us to treat the relationship as a single entity to link it to a manager.
  • Service Contracts: In a system where a technician services a piece of equipment, we might need to record the 'Service-Report' for that specific interaction. By aggregating the 'Technician-Services-Equipment' relationship, we can associate it with a 'Service-Report' entity, effectively linking the report to the specific instance of the service event.
