a

Discuss its role of planning in present day business organizations.

7 marks

Answer

Planning serves as the foundational management function in modern business, providing a roadmap for achieving organizational objectives amidst dynamic market conditions. Its primary roles include:

  • Goal Setting: It defines clear, measurable objectives, ensuring all departments align their efforts toward a unified vision.
  • Resource Optimization: Planning allows for the efficient allocation of human, financial, and physical resources, minimizing waste and reducing operational costs.
  • Risk Mitigation: By forecasting trends and potential threats, organizations can develop contingency plans, enhancing resilience against market volatility.
  • Decision Making: It provides a structured framework that guides management in making informed, consistent decisions rather than reacting impulsively to problems.
  • Performance Standards: Planning establishes benchmarks against which actual performance can be measured, facilitating effective control and corrective action.
b

Critically examine Herzberg’s two factor theory.

8 marks

Answer

Herzberg’s Two-Factor Theory, also known as the Motivation-Hygiene Theory, posits that job satisfaction and dissatisfaction are influenced by two distinct sets of factors:

  • Hygiene Factors: These are extrinsic to the job, such as salary, company policy, working conditions, and job security. Their absence causes dissatisfaction, but their presence does not necessarily motivate employees; they merely prevent unhappiness.
  • Motivators: These are intrinsic to the work itself, such as achievement, recognition, responsibility, and personal growth. These factors are the true drivers of long-term motivation and job satisfaction.

Critically, the theory suggests that satisfaction and dissatisfaction are not opposites on a single continuum but are independent dimensions. A manager can have an employee who is not dissatisfied (due to good hygiene factors) but is also not motivated (due to lack of growth opportunities).

Limitations: The theory is criticized for its subjective methodology, as individuals may attribute their own successes to intrinsic factors and failures to external conditions. Furthermore, it assumes a direct link between satisfaction and productivity, which is not always empirically supported, and it fails to account for individual differences in what employees value as motivators.
