Describe the nature of management. Briefly explain the 14 principles of management suggested by Henry Fayol.

8 marks

Answer

Management is a universal, goal-oriented, and continuous process that involves planning, organizing, staffing, directing, and controlling resources to achieve organizational objectives efficiently and effectively. It is both a science, based on systematic knowledge and principles, and an art, requiring personal skills and creativity. Management is also considered a profession as it involves specialized knowledge, formal training, and adherence to ethical codes.

Henry Fayol proposed 14 principles of management to guide organizational efficiency:

  1. Division of Work: Specialization increases efficiency by allowing employees to focus on specific tasks.
  2. Authority and Responsibility: Managers must have the authority to give orders, balanced by accountability for the results.
  3. Discipline: Obedience and respect for organizational rules are essential for smooth operations.
  4. Unity of Command: An employee should receive orders from only one superior.
  5. Unity of Direction: Activities with the same objective should be directed by one manager using one plan.
  6. Subordination of Individual Interest: Organizational goals must take precedence over personal interests.
  7. Remuneration: Employees should be paid fairly for their services.
  8. Centralization: The degree to which decision-making is concentrated at the top management level.
  9. Scalar Chain: A clear line of authority from top to bottom, though communication can bypass levels in emergencies (gang plank).
  10. Order: A place for everything and everything in its place, regarding both materials and people.
  11. Equity: Managers should be kind and fair to their subordinates.
  12. Stability of Tenure: High turnover is inefficient; employees need time to learn their jobs.
  13. Initiative: Employees should be encouraged to create and carry out plans.
  14. Esprit de Corps: Promoting team spirit and harmony within the organization.

What is systems approach to management and explain its salient features.

7 marks

Answer

The systems approach views an organization as a unified, purposeful system composed of interrelated and interdependent parts. Rather than focusing on individual components, this approach emphasizes the interaction between the organization and its external environment. The organization receives inputs (resources, information), processes them through transformation activities, and produces outputs (products, services) while receiving feedback to adjust operations.

The salient features of the systems approach include:

  • Interdependence: Every department or sub-system is connected; a change in one area affects others.
  • Open System: Organizations are open systems that constantly interact with the environment, adapting to external changes.
  • Holism: The whole is greater than the sum of its parts; the organization must be managed as a complete entity.
  • Entropy: All systems tend toward decline unless they import energy or resources from the environment to maintain equilibrium.
  • Feedback Loop: Continuous monitoring of outputs allows for corrective action, ensuring the system stays aligned with its goals.
  • Equifinality: There are multiple paths to achieve the same organizational goals depending on the internal and external conditions.
