Discuss the management functions and explain Henry Fayol’s principles of management.
Answer
Management functions are the fundamental activities performed by managers to achieve organizational goals. These include:
- Planning: Defining goals, establishing strategies, and developing plans to coordinate activities.
- Organizing: Determining what tasks are to be done, who is to do them, and how tasks are to be grouped.
- Staffing: Recruitment, selection, training, and development of personnel.
- Directing: Influencing, guiding, and motivating employees to perform their tasks.
- Controlling: Monitoring activities to ensure they are accomplished as planned and correcting any significant deviations.
Henry Fayol, the father of modern management, proposed 14 principles of management:
- Division of Work: Specialization increases efficiency.
- Authority and Responsibility: The right to give orders must be balanced with accountability.
- Discipline: Obedience and respect for organizational rules.
- Unity of Command: An employee should receive orders from only one superior.
- Unity of Direction: One head and one plan for a group of activities having the same objective.
- Subordination of Individual Interest: The interests of the organization take precedence over individual interests.
- Remuneration: Fair payment for services rendered.
- Centralization: The degree to which subordinates are involved in decision-making.
- Scalar Chain: The line of authority from top management to the lowest ranks.
- Order: A place for everything and everything in its place.
- Equity: Kindness and justice in dealing with employees.
- Stability of Tenure: High turnover should be avoided to ensure efficiency.
- Initiative: Encouraging employees to originate and carry out plans.
- Esprit de Corps: Promoting team spirit and harmony within the organization.
Explain Maslow’s theory of motivation.
Answer
Abraham Maslow’s Hierarchy of Needs theory suggests that human motivation is driven by a hierarchy of five levels of needs, which must be satisfied in sequence:
- Physiological Needs: Basic requirements for survival, such as food, water, shelter, and sleep.
- Safety Needs: The need for physical security, stability, and protection from danger.
- Social (Belongingness) Needs: The desire for friendship, affection, acceptance, and interaction with others.
- Esteem Needs: The need for self-respect, achievement, status, recognition, and attention.
- Self-Actualization Needs: The highest level, representing the desire for personal growth, self-fulfillment, and realizing one's full potential.
According to the theory, once a lower-level need is substantially satisfied, it no longer motivates behavior, and the individual moves up to the next level of the hierarchy. Managers use this framework to understand employee behavior and design appropriate incentive systems to satisfy these specific needs.
